Keep pay-run records understandable from the start.
Organise employee and pay-period information, review entered amounts and retain a clear record. Payroll preparation needs accurate inputs and a deliberate review before any external action.
For Australian employers and people preparing payroll records.
Define the employee and period
A pay run starts with the correct person, dates and agreed pay information. Keep ordinary hours, additional amounts and adjustments distinguishable. The payroll workspace provides a place to organise these records, but employment conditions and legal obligations cannot be inferred from a generic example. Verify the employee’s settings before processing the period.
Review gross, withholding and net separately
Gross pay, withholding and take-home pay are related but different figures. Review deductions and contributions instead of treating one subtraction as a complete payroll calculation. Rates and obligations can depend on employee information and current rules. The public example below only subtracts an amount you enter; it does not calculate statutory PAYG withholding.
Reconcile what was actually paid
Recording a pay run, transferring money and reporting to an authority are separate events. Keep evidence of the actual payment and investigate discrepancies. A small team may review each pay run manually, while a growing business may need more defined responsibilities and external payroll support. Do not assume a recorded draft has been paid or reported.

Everyday examples
A workshop owner
Checks pay-period inputs before recording a run for a small team.
An office administrator
Keeps an adjustment visible rather than changing a net amount without explanation.
A growing employer
Reconciles its records with the payroll process and reporting tools it actually uses.
Understand a sample pay record
Arithmetic only, before other adjustments. The withholding amount is your input, not a statutory calculation. Enable JavaScript to change the example figures.
Questions
Does recording a pay run transfer wages?
No. A record, a bank payment and statutory reporting are separate actions.
Does this example calculate PAYG?
No. It subtracts the withholding you enter to explain the relationship between two figures.
